Examinations Officer

The Role:

To oversee and co-ordinate all the Examinations in the school and to support the MIS function

F/T hours, site based, term time

Duties to include:

  • To plan all examination arrangements including the Invigilator timetable to ensure that all examinations are supervised according to regulations
  • Work closely with the Deputy Head Academic on examination planning and queries
  • To recruit, induct, train and manage the Exam Invigilators and work with HR to ensure they remain compliant
  • To organise the exam rooms during the examination season (including seating, materials, exam starts and finishes) and to be responsible for the exams taking place there
  • To liaise with the Head of EP to ensure Access Arrangements are in place, including making online applications for Access Arrangements and both timetabling and staffing arrangements for candidates who need separate rooms. Ensure Exam Invigilators are briefed on candidate access arrangements
  • To hold an exam briefing session for candidates
  • To be present during the results procedures and to assist with the distribution of candidates’ results and preparation of related documentation
  • To deal with the checking and distribution of exam certificates as they arrive from the various Boards, including those of pupils who have left the School
  • To assist with miscellaneous office duties, such as the checking of question papers, attendance registers, stationery, estimated grade forms and candidates’ statements of entry and results
  • To prepare accounts and billing requirements for entries, re-marks and returned scripts
  • To provide the various statistical returns required
  • To maintain the School’s database, including submitting entries to the examination bodies
  • To prepare results sheets and analysis for internal use and the media
  • Support the MIS function in School with both exam data and other relevant information
  • Support the sharing of exam knowledge to other members of staff within the MIS and Exams department to ensure continuous service delivery

The ideal candidate will have the following skills:
Knowledge of examination boards and their requirements
Experience of managing staff (Invigilators)
Advanced Excel
Ability to multi-task and priortise workload and comply with tight deadlines
Commitment to the aims and ethos of the school
Team player who can be flexible
